Terms of Use

Terms for using the CoverGrid™ website and teacher coverage platform.

By accessing or using CoverGrid™, you agree to these Terms of Use. If you are using CoverGrid™ on behalf of a school, board, or organization, you confirm that you are authorized to do so and that your use of CoverGrid™ complies with your applicable school, board, privacy, procurement, and acceptable-use policies.

1. Who operates CoverGrid

CoverGrid™ is a teacher coverage management platform operated by Brent Bailey Internet Solutions. CoverGrid is designed to support school operations, including teacher absence coverage, timetable-based coverage assignment, accept/decline response tracking, workload review, and reporting.

2. Nature of the service

CoverGrid™ is a school operations and teacher coverage management tool. It is not a student information system, official attendance system, payroll system, human resources system, emergency communication system, or official board records-management system unless separately agreed in writing.

3. Authorized use

CoverGrid™ may be used only by authorized users for legitimate school administration, scheduling, coverage, reporting, training, demonstration, and related operational purposes. Users must not access, attempt to access, modify, copy, export, or use information they are not authorized to handle.

4. User responsibilities

Users are responsible for:

  • entering accurate, appropriate, and authorized information;
  • keeping login credentials secure and not sharing accounts;
  • using CoverGrid™ in accordance with school, board, privacy, employment, records-management, and acceptable-use policies;
  • reviewing assignments, reports, exports, and recommendations before relying on them for operational decisions;
  • promptly reporting suspected unauthorized access, incorrect data, or technical issues.

5. School and board responsibility

Schools, boards, and authorized account administrators are responsible for deciding what information is entered into CoverGrid™, ensuring users have appropriate permissions, maintaining accurate roster and timetable data, and ensuring that use of CoverGrid™ complies with applicable policies, laws, and internal approval processes.

6. Student information

CoverGrid™ does not require student personal information for normal teacher coverage workflows. Users should not enter student personal information, confidential student records, or unnecessary sensitive information into CoverGrid™ unless their school or board has determined that doing so is authorized and appropriate under applicable privacy, consent, record-keeping, and acceptable-use requirements.

7. Demo environments

CoverGrid™ demos and test environments should use fictitious or sample school data whenever possible. Users must not enter real student personal information, confidential school records, or unnecessary sensitive information into public demo environments.

8. Data and content

Schools and boards remain responsible for the accuracy, legality, and appropriateness of data entered into CoverGrid™. CoverGrid™ may process data to provide platform functionality, user support, security, troubleshooting, reporting, backups where applicable, and service improvement.

9. Third-party services

CoverGrid™ relies on trusted third-party service providers to operate the platform, including:

  • Firebase (Google) — for user authentication, cloud database storage, and related Google Cloud infrastructure;
  • Jotform — for the AI support assistant embedded in the application. Interactions with the assistant may be processed by Jotform's servers and are subject to Jotform's own terms and privacy policy. Use of the assistant is optional;
  • ExcelJS (jsDelivr CDN) — for spreadsheet export functionality.

Use of CoverGrid™ is also subject to the operational limitations and availability of these third-party services.

10. Privacy

Use of CoverGrid™ is also governed by our Privacy Policy, which explains how information may be collected, used, stored, and processed, including through Firebase, Google Cloud, Jotform, and other service providers.

11. No guarantee of coverage outcomes

CoverGrid™ assists with coverage management and reporting, but final decisions remain the responsibility of authorized school or board staff. CoverGrid™ does not guarantee that every absence, class, period, supervision duty, or coverage assignment will be filled, accepted, error-free, or operationally suitable.

12. Data accuracy and operational review

CoverGrid™ output depends on the accuracy of information entered by users, including timetables, availability, roster data, absences, coverage notes, and school settings. Users must review coverage assignments, reports, exports, and notifications before relying on them.

13. Availability and changes

We aim to keep CoverGrid™ reliable and available, but service interruptions, maintenance, updates, configuration changes, internet outages, third-party service issues, or technical problems may occur. Features may be updated, changed, limited, or removed as the platform evolves.

14. Acceptable use

Users must not misuse CoverGrid™. Prohibited activity includes attempting unauthorized access, interfering with platform operation, uploading malicious code, scraping or copying the service, bypassing security controls, using the service for unlawful purposes, or entering information that users are not authorized to process.

15. Intellectual property

The CoverGrid™ name, interface, design, software, reports, website content, workflows, branding, and related materials are owned by CoverGrid™, Brent Bailey Internet Solutions, or their creator unless otherwise stated. Users may not copy, resell, reverse engineer, redistribute, or create derivative commercial services from the platform without written permission.

16. Limitation of liability

To the maximum extent permitted by law, CoverGrid™ and Brent Bailey Internet Solutions are not liable for indirect, incidental, consequential, special, operational, reputational, financial, or data-related losses arising from use of the platform, including missed coverage, data-entry errors, inaccurate schedules, incomplete reports, school staffing decisions, service interruptions, or third-party service issues.

17. Suspension or termination

Access may be suspended, restricted, or terminated if the platform is misused, if account security is compromised, if payment or agreement requirements are not met, if required by law, or if requested by an authorized school, board, or account administrator.

18. Changes to these Terms

These Terms may be updated from time to time. The updated version will be posted on this page with a revised “Last updated” date. Continued use of CoverGrid™ after updates means you accept the revised Terms.
